Getting Started

New to Mandu? Start here — step-by-step guides for your first setup.

After logging in Mandu walks you through a setup wizard. Update details any time via Settings → Company:
  1. Set your company name, logo and registered address
  2. Choose your default currency and country
  3. Set your fiscal year start and end dates
  4. Add your Tax ID / VAT registration number
Your chart of accounts is auto-created based on your country. Customise it under Accounting → Chart of Accounts.
Complete company setup before creating any invoices — the system uses this info on all documents.
Go to Settings → User → New User. Enter the email and assign a role:
  • Accounts User / Manager — finance team
  • Sales User / Manager — sales team
  • Purchase User / Manager — procurement
  • Stock User / Manager — warehouse team
  • HR User / Manager — HR team (Professional+ plans)
  • System Manager — full admin access
An invitation email is sent automatically. Each user sets their own password on first login.
Your plan limits the number of users. Check your usage in your Subscription Portal.
Go to Stock → Item → New Item:
  1. Set the Item Code and Item Name
  2. Select an Item Group (Products, Services, Raw Materials)
  3. Set the Unit of Measure (Nos, Kg, Litre, Hour)
  4. Enable Maintain Stock for physical inventory items
  5. Set a standard selling price in the Item Price table
For items with variants (sizes, colours) create a Template Item — variants are generated automatically.
Customers: Go to Selling → Customer → New. Add name, group, territory and contact details. Import from CSV for bulk uploads.

Suppliers: Go to Buying → Supplier → New. Add name, group and default payment terms.

Both can have multiple contacts, addresses and bank accounts linked to their record.
Go to Accounting → Sales Invoice → New:
  1. Select the Customer
  2. Add items with quantities and rates
  3. Apply a Tax Template if applicable (e.g. VAT 16%)
  4. Set the due date and payment terms
  5. Click Save to draft or Submit to finalise
  6. Click Make Payment to record when the customer pays
You can also create invoices from a Sales Order — open it and click Make → Sales Invoice. All items are pre-filled.
From an invoice: Open a submitted invoice and click Make Payment. Select bank/cash account and amount.

Standalone: Go to Accounting → Payment Entry → New:
  • Receive — money in from customers
  • Pay — money out to suppliers
  • Internal Transfer — between your accounts
Use Get Outstanding Invoices to settle multiple invoices in one payment.
Sign in at mandu360.com/login — enter your email and we will find your account automatically.

To reset your password click Forgot password on your login page. A reset link will be emailed to you.

Billing & Subscription

Manage your plan, payments and account from your Subscription Portal.

⬆️ Upgrading or changing your plan

Go to your Subscription Portal → Plans section. Upgrades take effect immediately. Downgrades apply at your next renewal. Access at yoursubdomain.mandu360.com/mandu-subscription.

💳 How to pay

We accept M-Pesa, Visa/Mastercard, PesaLink via Paystack and PesaPal for other regions. Pay from the Payment section in your Subscription Portal. We never store card details.

📅 Monthly vs Annual billing

Annual billing gives a significant discount over monthly. Switch any time from the Plans section. Annual billing starts from your current renewal date.

🧾 Viewing your invoices

All payment history and invoices are in the Billing section of your Subscription Portal. Each invoice shows a full breakdown of your plan, add-ons and any discounts applied.

❌ Payment failed

Usually caused by insufficient funds, expired card or M-Pesa network issue. Retry from your Subscription Portal. Still failing? Chat with us or email support@mandu360.com.

🎁 Referral codes

Enter a referral code at signup or in the My Plan section of your Subscription Portal. Codes give extra free trial days or a discount on your first payment.

⛔ Cancelling your subscription

Contact us at support@mandu360.com to cancel. Your account stays active until end of billing period. Data kept for 30 days after cancellation.

📊 Usage limits

Each plan has limits on users, storage and monthly transactions. Check live usage in the Usage section of your Subscription Portal. Upgrade if you are approaching a limit.
